Return and Refund Policy

At Vemdia, your satisfaction is our priority. We stand behind the quality of our LiFePO4 battery products and want you to be completely satisfied with your purchase. This Return and Refund Policy outlines the terms and conditions for returning products and requesting refunds.

1. Return Policy Overview

1.1 Return Window

You may return eligible products within 30 days of the delivery date for a refund or exchange. The return period begins on the date you receive your order (as confirmed by carrier tracking).

Important: Returns initiated after 30 days from delivery will not be accepted unless covered by our warranty policy (see Section 8).

1.2 Eligibility Requirements

To be eligible for a return, products must meet ALL of the following conditions:

  • Unused and Uninstalled: Products must be in new, unused condition with no signs of installation, connection, or use
  • Original Condition: Products must be in the same condition as received, with no physical damage, scratches, or modifications
  • Original Packaging: Products must be returned in original packaging with all protective materials, foam inserts, and boxes intact
  • Complete Contents: All accessories, cables, manuals, documentation, and components must be included
  • Serial Numbers Intact: Product serial numbers, labels, and identification tags must not be removed or tampered with
  • Return Authorization: A Return Merchandise Authorization (RMA) number must be obtained before shipping the return

Note: Returns that do not meet these requirements may be refused or subject to a restocking fee (see Section 5.3).

2. Non-Returnable Items

The following items are NOT eligible for return under our standard return policy:

2.1 Used or Installed Products

  • Batteries that have been installed, connected to a system, or charged/discharged
  • Products showing signs of use, wear, or operation
  • Batteries with terminal connections that show evidence of installation

2.2 Damaged or Modified Products

  • Products damaged due to misuse, abuse, negligence, or accidents
  • Products that have been disassembled, modified, or repaired by unauthorized parties
  • Products with removed or altered serial numbers or identification labels
  • Products with physical damage (cracks, dents, punctures, corrosion)

2.3 Special Order and Custom Products

  • Custom-configured battery systems or special orders
  • Products ordered specifically for your application or requirements
  • Bulk or wholesale orders (contact us for case-by-case evaluation)

2.4 Clearance and Final Sale Items

  • Products marked as "Final Sale," "Clearance," or "As-Is"
  • Discontinued products sold at discounted prices
  • Promotional or closeout items (unless defective)

2.5 Late Returns

  • Products returned after the 30-day return window
  • Returns without valid RMA authorization

Exception: Defective products or items damaged in shipping may be eligible for return or replacement regardless of the above restrictions (see Section 7).

3. How to Initiate a Return

3.1 Request Return Authorization

Before returning any product, you must obtain a Return Merchandise Authorization (RMA) number:

  1. Contact Us: Email vemdiapower@gmail.com with the subject line "Return Request"
  2. Provide Information:
    • Order number
    • Product name and SKU
    • Reason for return
    • Photos of the product and packaging (if applicable)
    • Preferred resolution (refund or exchange)
  3. Await Approval: We will review your request and respond within 1-2 business days
  4. Receive RMA Number: If approved, you will receive an RMA number and detailed return instructions

Important: Returns shipped without an RMA number will be refused and returned to sender at your expense.

3.2 Prepare Your Return

Once you receive your RMA number and return instructions:

  1. Repack Carefully:
    • Use the original packaging, box, and protective materials
    • If original packaging is unavailable, use sturdy packaging with adequate cushioning
    • Ensure the battery is secured and cannot be moved during transit
    • Include all accessories, cables, manuals, and components
  2. Include Documentation:
    • Print and include the RMA authorization email or number
    • Include a copy of your order confirmation or invoice
    • Write your RMA number clearly on the outside of the package
  3. Prepare for shipping:
    • Seal the package securely with strong packing tape
    • Apply appropriate lithium battery shipping labels (if required - see Section 3.4)
    • Do not write or place stickers directly on the original product packaging

3.3 Ship Your Return

Customer-Paid Returns (Non-Defective Items):

  • You are responsible for return shipping costs
  • Ship to the return address provided in your RMA authorization
  • Use a trackable shipping method (USPS, UPS, FedEx)
  • Purchase shipping insurance for high-value items (recommended)
  • Retain your tracking number and proof of shipment
  • Allow 7-14 days for return transit

Prepaid Returns (Defective Items or Our Error):

  • We will provide a prepaid return shipping label at no cost to you
  • Follow the instructions provided with your return label
  • Drop off the package at the designated carrier location

3.4 Lithium Battery Return Shipping Requirements

Due to hazardous materials regulations, lithium battery returns must comply with shipping requirements:

  • Packaging: Use UN-certified packaging suitable for lithium batteries (we will provide guidance)
  • Labeling: Apply Class 9 lithium battery warning labels (we will provide labels if needed)
  • Carrier Restrictions: Some carriers may not accept lithium batteries from consumers; use the carrier specified in your RMA instructions
  • Ground Shipping Only: Do not ship lithium batteries via air mail or express air services unless authorized
  • State of Charge: Batteries should be at 30% charge or less for safe transport (if applicable)

Important: Failure to comply with lithium battery shipping regulations may result in carrier refusal, fines, or safety hazards. Follow all instructions provided in your RMA authorization.

3.5 Return Tracking

After shipping your return:

  • Email your tracking number to vemdiapower@gmail.com
  • Reference your RMA number in the email subject line
  • Monitor tracking to confirm delivery to our facility
  • You are responsible for the return until it is received and inspected by Vemdia

Risk of Loss: You bear the risk of loss or damage during return shipping. We recommend purchasing shipping insurance for valuable items.

4. Return Inspection and Processing

4.1 Inspection Timeline

Once we receive your return:

  • Receipt Confirmation: We will confirm receipt within 1-2 business days
  • Inspection: Returns are inspected within 3-5 business days of receipt
  • Approval/Denial: You will be notified of the inspection results via email
  • Refund Processing: Approved refunds are processed within 5-10 business days

4.2 Inspection Criteria

During inspection, we verify that the returned product:

  • Matches the RMA authorization and order details
  • Is in unused, uninstalled, and original condition
  • Includes all original packaging, accessories, and components
  • Has intact serial numbers and identification labels
  • Shows no signs of damage, wear, or modification
  • Meets all eligibility requirements outlined in Section 1.2

4.3 Inspection Outcomes

Approved Returns:

  • Full refund issued (minus applicable fees - see Section 5)
  • Refund processed to original payment method
  • Confirmation email sent with refund details

Partial Approval (Restocking Fee Applied):

  • Return accepted but does not meet all eligibility criteria
  • Restocking fee deducted from refund (see Section 5.3)
  • Explanation provided in confirmation email

Denied Returns:

  • Return does not meet eligibility requirements
  • Product is damaged, used, or incomplete
  • Return shipped without RMA authorization
  • Product will be returned to you at your expense, or you may authorize disposal

4.4 Disputes

If you disagree with the inspection results:

  • Provide additional information or evidence to support your claim
  • We will review your case and provide a final decision within 3-5 business days

5. Refund Policy

5.1 Refund Method

Approved refunds are issued to the original payment method used for the purchase:

  • Credit/Debit Card: Refund appears on your statement within 5-10 business days (may take longer depending on your bank)
  • PayPal: Refund credited to your PayPal account within 3-5 business days
  • Shop Pay: Refund credited to your Shop Pay account within 3-5 business days
  • Other Payment Methods: Refund processed according to the payment provider's timeline

Note: We cannot issue refunds to a different payment method or account than the one used for the original purchase.

5.2 Refund Amount

The refund amount includes:

  • Product Price: Full purchase price of the returned item(s)
  • Applicable Taxes: Sales tax or VAT paid on the returned item(s)

The refund amount does NOT include :

  • Original Shipping Costs: Non-refundable unless the return is due to our error or a defective product
  • Return Shipping Costs: You are responsible for return shipping unless the return is due to our error or a defective product
  • Restocking Fees: May be deducted for certain returns (see Section 5.3)
  • Customs Duties/Fees: International customers are responsible for any customs fees paid; these are not refundable by Vemdia

5.3 Restocking Fee

A restocking fee of up to 15% of the product price may be applied to returns that:

  • Are missing original packaging or packaging is damaged
  • Are missing accessories, manuals, or components
  • Show minor signs of handling or cosmetic imperfections
  • Require repackaging or refurbishment before resale
  • Are large or heavy items requiring special handling

No restocking fee will be charged for:

  • Defective or damaged products
  • Returns due to our error (wrong item shipped, incorrect product description)
  • Returns in perfect, unopened condition with all original packaging intact

The restocking fee (if applicable) will be clearly stated in your refund confirmation email.

5.4 Refund Timeline

The complete refund process typically takes:

  1. Return Transit: 7-14 days (depending on shipping method and location)
  2. Inspection: 3-5 business days after receipt
  3. Refund Processing: 5-10 business days after approval
  4. Bank/Payment Provider Processing: 3-10 business days (varies by institution)

Total Time: Approximately 2-5 weeks from the date you ship your return to when the refund appears in your account.

5.5 Partial Refunds

Partial refunds may be issued in the following situations:

  • Only some items from a multi-item order are returned
  • Restocking fee is applied
  • Product is returned in less-than-perfect condition but still acceptable
  • Missing accessories or components (refund reduced by replacement cost)

5.6 Refund Confirmation

Once your refund is processed, you will receive an email confirmation containing:

  • Refund amount
  • Refund method (original payment method)
  • Any fees deducted (restocking, return shipping)
  • Expected timeline for refund to appear in your account

6. Exchanges

6.1 Exchange Policy

We do not offer direct product exchanges. If you need a different product:

  1. Return the original product following the return process (Section 3)
  2. Receive a refund once the return is approved
  3. Place a new order for the desired product

Reason: This ensures you receive the correct product quickly without waiting for the return to be processed.

6.2 Expedited Replacement

If you need a replacement urgently:

  • Place a new order for the replacement product immediately
  • Initiate a return for the original product
  • Once your return is approved, you will receive a refund for the original purchase

Note: You will temporarily pay for both orders, but will be refunded for the returned item once the return is processed.

7.Defective or Damaged Products

7.1 Reporting Defects or Damage

If you receive a defective or damaged product, please contact us immediately:

  • Timeframe: Report defects or damage within 48 hours of delivery
  • Contact: Email vemdiapower@gmail.com with subject line "Defective/Damaged Product"
  • Information Required:
    • Order number
    • Product name and SKU
    • Detailed description of the defect or damage
    • Clear photos of the product, defect/damage, and packaging
    • Photos of the shipping box and label (for shipping damage)

Important: Failure to report defects or damage within 48 hours may affect your ability to file a claim.

7.2 Shipping Damage

If your product arrives with visible shipping damage:

  • Inspect Immediately: Examine the package and contents upon delivery
  • Note on Delivery Receipt: If signing for delivery, write "damaged" on the carrier's delivery receipt
  • Retain Packaging: Keep all packaging materials, boxes, and packing materials for carrier inspection
  • Document Damage: Take photos of the damaged packaging, shipping label, and product
  • Contact Us: Report the damage within 48 hours

7.3 Manufacturing Defects

If your product has a manufacturing defect:

  • Describe the defect in detail (eg, battery not charging, BMS malfunction, physical defect)
  • Provide photos or videos demonstrating the issue
  • Confirm the product has not been misused, modified, or improperly installed
  • We may request additional troubleshooting steps before authorizing a return

7.4 Resolution for Defective/Damaged Products

For confirmed defective or damaged products, we will offer:

  • Free Replacement: We will ship a replacement product at no cost to you (expedited shipping available)
  • Full Refund: Complete refund including original shipping costs
  • Prepaid Return Label: We provide a prepaid return shipping label for the defective/damaged item
  • No Restocking Fee: No fees or deductions for defective/damaged returns

You choose the resolution that works best for you.

7.5 Wrong Item Shipped

If we shipped the wrong product:

  • Contact us within 48 hours of delivery
  • Provide photos of the product received and the shipping label
  • We will arrange for the correct product to be shipped immediately
  • We will provide a prepaid return label for the incorrect item
  • No charges or fees will apply

8. Warranty Returns

8.1 Warranty Coverage

Our LiFePO4 batteries are covered by a limited manufacturer's warranty (typically 5-10 years depending on the product). Warranty coverage includes:

  • Defects in materials and workmanship
  • Battery capacity degradation beyond specified limits
  • BMS (Battery Management System) malfunctions
  • Manufacturing defects discovered after the 30-day return period

8.2 Warranty Claims

To file a warranty claim:

  1. Contact us at vemdiapower@gmail.com with subject line "Warranty Claim"
  2. Provide:
    • Proof of purchase (order number, invoice, receipt)
    • Product serial number
    • Detailed description of the issue
    • Photos or videos demonstrating the defect
    • Installation and usage details
  3. We will review your claim and may request additional information or troubleshooting
  4. If approved, we will provide repair, replacement, or refund options

8.3 Warranty Exclusions

Warranty does not cover:

  • Normal wear and tear or gradual capacity loss within specifications
  • Damage from misuse, abuse, negligence, or accidents
  • Improper installation, maintenance, or storage
  • Unauthorized repairs, modifications, or tampering
  • Use in applications not recommended by the manufacturer
  • Damage from external causes (fire, flood, power surges, lightning)
  • Cosmetic damage that does not affect functionality

8.4 Warranty Return Process

Approved warranty returns follow the same process as standard returns (Section 3), with the following differences:

  • Warranty returns are accepted beyond the 30-day return window
  • We provide prepaid return shipping labels for warranty returns
  • No restocking fees apply to warranty returns
  • Replacement products may be new or refurbished (at our discretion)

9. International Returns

9.1 International Return Shipping

International customers are responsible for return shipping costs unless the return is due to a defect or our error. International returns must:

  • Comply with lithium battery shipping regulations in your country
  • Include proper customs documentation (commercial invoice, customs forms)
  • Be shipped via a trackable international carrier (DHL, FedEx, UPS)
  • Allow 2-4 weeks for international return transit

9.2 Customs and Duties

For international returns:

  • Mark the package as "Returned Goods" on customs forms
  • Declare the original purchase value
  • You may be responsible for export fees or customs charges in your country
  • Vemdia is not responsible for any customs fees, duties, or taxes incurred during the return process
  • Customs duties and taxes paid on the original shipment are not refundable by Vemdia (contact your customs authority)

9.3 International Refunds

International refunds are processed in the same manner as domestic refunds:

  • Refund issued to original payment method
  • Refund amount in original currency (USD)
  • Currency conversion fees (if any) are determined by your bank or payment provider
  • Original international shipping costs are non-refundable unless the return is due to our error or a defect

10. Refused or Unclaimed Shipments

10.1 Refusal of Delivery

If you refuse delivery of your order:

  • The package will be returned to Vemdia
  • You will be charged for return shipping costs and any carrier fees
  • A refund will be issued minus:
    • Original shipping costs
    • Return shipping costs
    • Restocking fee (up to 15%)
    • Any carrier fees or surcharges

10.2 Unclaimed Packages

If you fail to claim your package and it is returned to us:

  • Same refund policy as refused shipments applies
  • You are responsible for all shipping and handling costs
  • Refund processed after the package is received and inspected

10.3 Address Correction Fees

If your package is returned due to an incorrect or incomplete address you provided:

  • You will be charged for return shipping and any address correction fees
  • You may choose to have the package reshipped (you pay reshipping costs) or receive a partial refund

11. Cancellations

11.1 Order Cancellation Before Shipment

You may cancel your order before it ships:

  • Contact us at vemdiapower@gmail.com as soon as possible
  • Provide your order number and request cancellation
  • If the order has not yet shipped, we will cancel it and issue a full refund
  • If the order has already shipped, you must follow the standard return process

11.2 Order Cancellation After Shipment

Once an order has shipped, it cannot be canceled. You must:

  • Receive the package
  • Initiate a return following the standard return process (Section 3)
  • Return shipping costs will apply (unless the return qualifies for prepaid shipping)

11.3 Cancellation by Vemdia

We reserve the right to cancel orders for reasons including:

  • Product unavailability or stockouts
  • Pricing or product description errors
  • Suspected fraudulent or unauthorized transactions
  • Failure to verify payment information
  • Violation of our Terms of Service

If we cancel your order, you will receive a full refund including shipping costs.
